Resource Efficiency Course Overview

This practical course equips participants with tools and habits to do more with the resources they already have—time, people, budget, tools, and materials—without sacrificing quality. Participants learn how to spot waste, streamline workflows, prioritize high-impact work, improve utilization, and build simple tracking routines to sustain efficiency improvements in day-to-day operations.

  • Define resource efficiency and why it matters (cost, speed, quality, customer impact).
  • Identify common forms of waste in daily work (time, rework, waiting, overprocessing).
  • Map a basic workflow and pinpoint bottlenecks and inefficiencies.
  • Apply practical methods to improve efficiency (standard work, simplification, automation-ready tasks).
  • Manage time and workload using prioritization and capacity planning techniques.
  • Reduce rework and errors by improving clarity, handoffs, and quality checks.
  • Build simple metrics to monitor efficiency and sustain improvements.
  • Create a 30-day resource efficiency improvement plan for a real work area.

  • Efficiency vs. effectiveness vs. productivity (and why all matter)
  • The hidden cost of waste: delays, burnout, customer dissatisfaction
  • Activity: Identify top resource pain points in the team (time, people, budget, tools)

Module 2: Identifying Waste in Daily Work

  • Common wastes (Lean-inspired, simplified):
    • Waiting, rework/defects, overprocessing, handoff delays, context switching
    • Unclear requirements, unnecessary meetings, duplicated work
  • Symptoms and root causes of inefficiency
  • Exercise: Waste walk (analyze a day/week of work and highlight waste sources)

Module 3: Workflow Mapping and Bottleneck Analysis

  • Simple process mapping (SIPOC / basic flowchart)
  • Bottlenecks and constraints: where work gets stuck
  • Queue and backlog basics: why “more work in progress” slows delivery
  • Workshop: Map one real process and identify bottlenecks + quick wins

Module 4: Streamlining and Standardizing Work

  • Simplification methods: remove, combine, reorder, automate-ready steps
  • Standard work: checklists, templates, and clear “definition of done”
  • Improving handoffs: inputs/outputs, owners, deadlines
  • Activity: Create a checklist/template to reduce rework for a chosen process

Module 5: Time and Capacity Management

  • Capacity vs. demand: managing workload realistically
  • Prioritization tools: impact/effort, urgency/importance, service-level thinking
  • Protecting focus: batching, limiting WIP, reducing interruptions
  • Practice: Build a weekly capacity plan and a daily focus routine

Module 6: Reducing Rework and Improving Quality at the Source

  • Why rework happens (unclear requirements, misalignment, weak checks)
  • Quality gates: simple review/approval steps that prevent repeat errors
  • “Right-first-time” habits and continuous feedback loops
  • Scenario exercise: Fix a rework-heavy workflow using clarity + checkpoints

Module 7: Smart Use of Tools and Automation Opportunities

  • Tool leverage: templates, shared knowledge bases, macros/automation candidates
  • Selecting tasks for automation (rule-based, repetitive, high-volume, low-judgment)
  • Building a lightweight improvement backlog
  • Workshop: Identify 5 automation-ready tasks and rank by impact

  • Practical metrics: cycle time, throughput, backlog, rework rate, SLA, utilization
  • Visual tracking: simple dashboards and weekly reviews
